The Challenge

Grace Health is a nonprofit, comprehensive, patient-centered healthcare center serving Calhoun County residents and located in Battle Creek, Michigan. To better serve their patients, Grace Health recently made improvements to their internal patient management operations. As part of these improvements, they established a partnership with Stat.io, a CareOps platform built for healthcare organizations that uses real-time location tracking, workflow automation, and wearable technology to improve clinic operations. Once they were ready, the next step was putting that real-time data in front of prospective patients. Once the Stat.io system was fully operational, the team at Grace Health looked to Acorn Marketing for help in bringing this new data to life to improve their patient wait-time experience for walk-in services.

Our Approach

Over the course of six months, the Acorn Marketing and Stat.io teams mapped Grace Health’s full operational workflow — from patient check-in processes and average visit lengths to real-time patient volume. Using this data, Stat.io developed a custom wait-time calculation, while Acorn built a custom JSON API connector for the Grace Health website. To ensure accuracy and avoid confusion, Grace Health also wanted wait times displayed only during active walk-in service hours. Because Stat.io did not offer a built-in solution for this functionality, Acorn implemented custom scheduling rules so wait times appear only on the specific days and times defined by Grace Health.

With the goal of increasing awareness around expected walk-in wait times, Acorn Marketing created a solution that displays accurate, real-time wait-time information across the Grace Health website, as well as on screens inside their facilities. This gives patients greater visibility into expected wait times, helping them better plan their visits and improving the overall patient experience.
